Job Title: Receptionist (Personal Injury Law Firm / Medical Office Experience Required).

Job Summary:
We are seeking a professional, organized, and client-focused Receptionist with experience in a personal injury law firm or medical office. The Receptionist will serve as the first point of contact for clients and patients, ensuring a welcoming and professional environment and managing front-desk operations. The ideal candidate understands the fast-paced nature of personal injury cases and medical scheduling, maintains strict confidentiality, and provides exceptional customer service.

Key Responsibilities:
  • Greet clients, patients, and visitors in a professional and friendly manner.
  • Answer and route incoming phone calls and take accurate messages.
  • Schedule and confirm appointments for attorneys, case managers, and medical providers.
  • Maintain and update client or patient records in case management or medical software systems.
  • Assist with the intake of new clients and patients, including collecting basic information and documentation.
  • Handle incoming and outgoing mail, faxes, and emails.
  • Scan, organize, and file legal and medical documents.
  • Coordinate communication between attorneys, paralegals, medical staff, and clients.
  • Maintain a clean and organized reception area.
  • Ensure confidentiality of sensitive legal and medical information.

Qualifications:
  • 0-3+ years of receptionist or front desk experience in a personal injury law firm, medical office, or similar professional environment.
  • Strong customer service and interpersonal skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Proficiency with Microsoft Office (Word, Outlook, Excel).
  • Experience with legal case management software or medical scheduling/EHR systems is a plus.
  • Strong organizational and time management skills.
  • High level of professionalism and attention to detail.

Preferred Skills:
  • Familiarity with personal injury case processes and medical treatment scheduling.
  • Experience assisting with client intake and document collection.
  • Bilingual (Spanish is required).
  • Experience handling insurance-related documentation.

Work Environment:
  • Professional office setting supporting a personal injury legal practice and/or medical providers.
  • Frequent interaction with clients, patients, attorneys, and medical staff.
  • Fast-paced environment requiring strong multitasking and communication skills.
  • Training will be provided on the job.
